Prescott High School Band and Orchestra Boosters

Meeting Minutes September 5th, 2023

Meeting called to order at 6:33pm

Attendees: Jennifer Whittemore, Jennifer Lacey, Tania Higgins,

Lani-Grimaldi Pierie, Dr. Calvin Audis, Leslie Schuster, Tia Knoy, Lisa

Dachenhausen, Eric Siegfried, Lynn Whitman, and Marianna Reynolds

Motion to approve last month’s treasurer report, budget, and meeting

minutes done by Tania Higgins, and second motion made by Jennifer

Lacey. All in favor, none opposed.

Report from Dr. Audis: We need to order and cover the cost of two new

pairs of shoes. The school covered all the other shoes needed but we had

two students join late, so we will cover the cost for those. We need to have

repairs done on the string instruments. Dr. Audis will go through the school

first to see if they will cover the cost. We will revisit this when he finds out if

the school will cover some, or all the cost of the repairs. Dr.Audis would

like to use the Fiddle Doctor for these repairs. He is local, very

knowledgeable, and has a quick turnaround time.

Update on Concert Attire: Thanks to Jennifer Lacey, the concert attire has

been dry cleaned and is hanging back in the closet.

Parent Meeting: The Parent meeting was very well attended. Thank you to

Lani-Grimaldi Pierie for filling in for Jennifer Whittemore. We had a lot of

good sign-ups from parents, but we are still missing chairs for some big

events throughout the year. We still need a chair for both silent auctions,

and a chair to head the spaghetti dinner. We are very thankful to have

three people signed up to write grants. There will be a meeting this Friday

at 3:30 with the grant writers and Dr. Audis to decide what we want to write

grants for and to whom. We have a list to refer to for our options.


Battle of the Bands: Thank you to Tania Higgins for setting this event up. It

was a huge success and we made over twelve hundred dollars. We had

over 600 dollars in donations and McDonalds gave us a percentage of the

profits for those two hours which came out to 510.00. McDonalds also

gave us an additional 150.00. Tania is working on setting up another Battle

of the Bands, possibly in November or in the Spring.

First Football Game: First game was a great success. The Marching Band

kids enjoyed the spaghetti dinner that was served before the game. The

kids sounded great! The 50/50 raffle total was 156.50 but the winner gave

their winnings back to the band so we were able to keep the total amount

which was 313.00. At the booster tables we sold 8 magnets for a total of

40 dollars, we sold 52 chocolate bars, and we received 59 dollars in

donations.

Marching Band and Guard meal cost: The Boosters feed the kids 10 meals

throughout the season. We are asking for 80 dollars from each family to go

towards the cost of the food. We still have 20 kids who have not paid yet.

We need to send another email out to all those families who have not paid.

If a family cannot afford this, it’s not a problem but we need a response so

we can handle it accordingly. We have decided to feed the techs and staff

that support the band. They do a lot for us so we want to provide meals for

them.

Chocolate Bar Sales: These chocolate bars have a sell by date of October.

We would like to sell whole boxes if possible for a few weeks. The kids

need to bring in money before they get the chocolate. Storefront sales are

always good but we may not have time to make this happen during this

busy season, between football games and festivals.

Booster T-Shirts Sales: Order forms will be submitted soon by Tania

Higgins and if someone wants one at a later date, we can always put more

orders in with the company. Arizona Cap.


Bradshaw Football Game: They will be coming here this year and we will

be feeding our kids as well as their kids. They did not charge us last year

so we need to decide if we will charge them for food this year. They have

almost double the amount of kids. We will cover 50-60 of their kids and ask

them to cover the rest. Either way, all kids will get a meal before the game.

Jazz Festival: Our snack bar did not make any money for the Boosters.

Our table was not in the best location and there wasn’t an announcement

during the program to encourage the audience to visit the snack bar, to

support our program. We have a lot of snacks left over. We would like to

sell snacks in the band room before our football games, to our band and

guard kids. They can buy our snacks instead of going to the concession

stands.

Car Wash: We would like to do another car wash on the 16th from 10-4.

The car wash brings in over 1000 dollars so if we have enough kids and

adults, it is definitely worth having. It will be held at the school this time.

The kids need to show up at the time of their shift and stay the entire time

of their shift. Kids do not need to be sitting down, and looking at their

phones during the car wash. Kids need to be actively involved during their

shift.

October 3rd concert is canceled.

We have a marching band practice on Saturday from 9-5 due to a conflict

on Wednesday with an event held by the Special Olympics.

Mile High Band: We are hosting the Mile High Band on November 3rd. We

will feed them dinner before the game, and they will play with our marching

band on the field during halftime.

50/50 Raffle: We need to make sure we don’t sell to any person under 21

years of age.
