Band Booster Meeting Minutes July 5th, 2023


Meeting called to order at 6:32pm


Attendees: Jennifer Whitemore, Tania Higgins, Lani Pierie, Leslie Schuster, Jennifer Lacey


Approval of last months treasurer report and meeting minutes: First motion for approval made by Tania Higgins, second motion made by Jennifer Lacey All in favor, none opposed


Last school year we brought in 37,000 dollars and we spent 30,000 dollars.


We were unable to use the recent grant money of 5,000 dollars on Guard equipment so Tania got us a week extension and was able to send 12 instruments to be repaired at the Music and Arts in Glendale, AZ. Mr. Taurins was kind enough to come and pick up the instruments and take them in for repair. We only spent 3,080.00 dollars on the repairs. Thank you Tania!


Going forward, we would like to assess all the other instruments in the department and see what needs fixing, and what instruments are beyond repair. Possibly turn in the damaged instruments somewhere for some type of credit towards new instruments. The instruments being repaired won’t be available for band camp but the students can rent instruments until we get the repaired instruments back. At the end of next school year, we would like to have a plan in place for repairing broken instruments over summer break, so none of the instruments should be taken home by the students at the end of the year.


Concert attire has still not been cleaned yet but we are waiting until the next school year starts and will get the PO for that. We have plenty of time to get the cleaning done before the first concert but would like to get it done ASAP.


Looking forward to the football games, Jennifer Whittemore asked Missy Townsend if we can use the band room, and also ideas of what we can sell at the football games to raise money. She mentioned we should do the 50/50 raffle. We were told by her last year that we couldn’t do the raffle, but now she is saying we can if it is run completely by adults. It is our biggest money maker at the football games so we will definitely be starting that back up again. We are also going to sell items for the students to match the themes for each football game. We can order from Oriental Trading Co. once we communicate with the student council about the themes for the games. We will need adult volunteers only to sign up to sell the tickets before and during the games.


Mr. Perkins has resigned and Mr. Neely has hired a new band director. The new director has been in contact with Kim Beard and they are working on band camp. Next week we will find out more information and plan a day that we can meet the new director. Band camp days and times have been posted in the Band app. We need to get all new students' emails and get them all on the Band app.


The budget is usually done in July but we are waiting until August because of the change in Band directors. We all agree we can do the budget in August at our next meeting.


Regarding the Band app, we would like to add a booster group to the app for better communication. Especially for better communication with the orchestra parents. We will still use emails for communication, but the more avenues of communication we have, the better. We will inform parents at the parent meeting about the Band app. The parent meeting will be sometime in August. We will set a date for that at the next booster meeting.


Instrument rental night is usually done at Granite Mountain Middle School through Milano. There are other ways to rent instruments from other schools in the district as well. We also can see if next year, we can set up instrument rental with another company that is less expensive than Milano.


August 1st will be the next booster meeting and will be a longer meeting because we will be discussing the budget for the new school year. We will invite the new band director to the August 1st meeting so we can discuss the budget with him. We should give him notice so he can prepare for what he wants to include in the budget.


Picture day will be on August 18th and will be held on the field. We need to confirm that we can use the field that day.


The shoes need to be cleaned and organized at some point. Several of the shoes got mixed up so we need to try to match the shoe sizes the best we can.

We will decide each fundraiser, where the money will go. Some will go towards the individual kids accounts, and some will go to the boosters. We are not sure if there will be a trip this year but the kids can start saving for future trips.


We will be doing our booster meetings on the first Tuesday of each month for now.


Next booster meeting is on August 1st at 6:30pm.
