Prescott High School Band and Orchestra Boosters Meeting Minutes August 1st, 2023
Meeting called to order at 6:32pm
Attendees: Jennifer Whittemore, Lani Grimaldi-Pierie, Leslie Schuster, Dr. Calvin Audis, Jennifer Lacey, Tania Higgins, Mary-Ann Reynolds, Lisa Dachenhausen
Motion to approve last month's treasurer report and meeting minutes done by Jennifer Lacey and second motion made by Lani Pierie. All in favor, none opposed.
We are still looking for an orchestra parent to fill the role of member at large, to join the boosters. We have one possible person that may be interested. This position would be helpful to provide better communication between the band, orchestra, and the boosters.
We have an update on the instrument repair. We did receive a check for 3,080.00 to pay for the repairs. We have received half of the instruments back and will receive the rest on August 13th. If the instruments that we have here at school don't have a PHS sticker, we can remove broken instruments as needed. We do not need the school’s permission.
Dr. Audis would appreciate a heads up on all planned fundraisers. As of now he has four festivals planned for the marching band, not including the finals. Hopefully the other groups will get at least one as well. The calendar will be updated with times and dates for these events.
We have decided to keep the P.O. Box address and Lani will pay the bill for that. We have been given the okay to have the concert attire dry cleaned. Concert attire will be cleaned by the end of the month. Our first concert is in October so we should have plenty of time to get those cleaned and returned to us.
Parent meeting will be held on August 22nd at 6:30 here in the band room. We will have sign-up sheets for all the different events that we need parent volunteers for. We will be collecting 80.00 per marching band kid to help cover the cost of food for the season. We are open to charging only half that, if the student is only eating half the meals due to allergies and preference.
Pictures of the marching band need to be done by August 10th to be included in the program for the football games. Dr. Audis is going to do some drone pictures this Thursday and also wants to get pictures done at the courthouse. We will do all other groups later on, hopefully at the courthouse.
Battle of the bands fundraiser night is at McDonalds in Prescott Valley on August 30th from 5-7. Marching band only. We will be playing battle of the bands with Bradshaw marching band.
We would like to include all band, orchestra, and guard students for Acker night this year.
Car wash will be on August 19th from 10-4 at the Cal-Ranch parking lot. Car wash money will be going to the individual student accounts.
Dr. Audis would like to do a small trip for the marching band in December and a similar trip in the spring for the concert, jazz, and orchestra. Next year we can look into a bigger trip. It is a good idea for the kids to fundraise and start saving now for next year.
There is a Band app set up for all band, orchestra, and guard students and their parents. This will be our way to communicate with everyone. Jennifer Whittemore will continue to send out emails as well.
We are voting in Mary-Ann Reynolds as our new member at large. All in favor, none opposed.
