Executive Board Meeting Minutes

March 21, 2023, 12:30 pm


Meeting called to order at 12:33pm


In attendance: Jennifer Whittemore (President), Tania Higgins (Vice President), Lani Pierie (Treasurer), Lisa Dachenhausen, Joan DiPietro, Melissa Owens, Jennifer Lacey, and Jason Taurins (Director)


Tania motioned to approve February 14, 2023 meeting minutes and February Treasurer Report, Lani seconded, unanimously approved.


Spaghetti Dinner: Joan discussed details of Spaghetti Dinner. Presented report – projected vs. actual. Overall, good estimate on cooked food. There were some food items opened that should not have been (noted for next year). Big expense was the salad – had 7 extra salads, will scale back significantly next year. Board decided the time frame for next year should be 5-7pm. Lani reported $728 in dinner ticket sales and $70.71 donated at the door.


Director: Mr. Taurins thanked the board and all volunteers for all the work that went into the dinner and auction. Thanked Tania and board for working on the Disney trip. Thanks to Ryan Dachenhausen for picking up instruments from Yavapai College. Noted there are still 2 instruments out – at Bradshaw. Mr. Taurins proposed an end of the year potluck in the band room in May, during which time national awards to be presented and letters (for jackets).


Disneyland Trip: Upcoming mandatory meeting for parents and students on Thursday, March 23rd, during which time rules and expectations and itinerary will be discussed. All participants will sign a statement acknowledging understanding of the rules for the trip. Discussed maybe having shirts for the trip – Mr. Taurins will ask about using tax credit for this. Talked about using AZ Cap and Apparel in Prescott Valley. Tania has been in communication with the bus company regarding the schedule. Jennifer asked when Disney will be paid – Mr. Taurins to follow up with the school. Lisa noted she and Wally will be driving and towing the band trailer. Trailer to be checked out – needs to go to PUSD bus yard. Lisa noted new locks are needed for the trailer, will get 3 combo locks.


Fundraising: Jennifer presented more money from chocolate bar sales to Lani for deposit. Jennifer reported that there are still 10 boxes unaccounted for. Students who have not turned in money for chocolate bars or pizza cards will have their Disney trip on hold.


Upcoming Events: Next concert is on May 2, 2023 in the RST. Mr. Taurins announced that the next marching band show will have 5 movements titled “They Were Heros” (referring to 19 Fire Fighters, Hot Shots, killed on June 30, 2013). Tania inquired about a t-shirt design. Will discuss further at future meetings.


Other Business: Lisa noted that the PO Box needs to be taken out of her name and put into Jennifer’s name.


Next meeting will be April 11, 2023 at 12:30pm.
