PRESCOTT HIGH SCHOOL BAND BOOSTERS BOARD MEETING

July 26th, 2021

Shannon’s Cheesecake Meeting Called to Order: 1:35pm

In Attendance: Lisa Dachenhausen, Tania Higgins and Jennifer Whittemore

Consent Agenda:

Minutes from June 25th, 2021 meeting submitted by Jennifer Whittemore Treasure reports for June 2021 submitted by Jennifer Whittemore

Motion to pass the consent agenda made by Jennifer, seconded by Lisa.

Old Business:

- We spoke of trying a carwash on July 31st, but there is a 70% chance of rain that day, so we are going to postpone it and try to plan one in August. Lisa will follow up with Cal Ranch about getting a date set up.

- Lisa has composed a letter to go out to all PHS Band students and their parents at emails provided by the school and both Jennifer and Tania have looked it over and approve of it. Mr. Bradstreet saw it as well and asked she wait until after school starts on August 5th before sending the email. Lisa and her husband Wally had met with Mr. Bradstreet for breakfast and that meeting went well.

- Lisa gave Jennifer 3 bills to pay for General Liability/Equipment insurance, one from J.W. Pepper for music and the P.O. Box yearly fee. They were paid and sent out.

- Lisa will contact Lisa Beard after band camp is over to see if she is okay with taking the Member at Large position. - Lisa set up a REMIND account to use during the school year. We decided to shut down the Band Booster website as it hasn’t been updated in several years and is not used.

New Business:

- Traci met with Lisa and Tania to show them the PHS Band Booster closet. There are tons of small water bottles in there and several other things we can use this year.

- Traci will be chairing the Mile High Festival this year, which is October 2nd, 2021. They will be doing a digital program and Traci will work on getting ads for the digital program and will send a letter out with her needs of volunteers and things for the festival and she will update the flyer.

- We are waiting on a date that Mr. Bradstreet will have a parent meeting for the Band Boosters once school starts. Traci suggested we have a band booster meeting for parents and we plan to incorporate it into Mr. Bradstreet’s meeting and have a sign up form for parents to volunteer.

- Mr Bradstreet sent out an email to the students with all the dates for the festivals and rehearsals and home football games. Lisa shared these dates with the board.

- We received a check from Kiwanis for $1,000. There were also several checks in the PHS Band Booster box at PHS from Fry’s and those were given to Jennifer and she deposited them.

- We started to create a budget for the 2021-2022 Band Year, but had many questions due to not having a marching band season last year. Lisa and Jennifer will do some research and we will try to have a budget to approve by our next meeting.There was some discussion on the name on the checking account.

- Next meeting is scheduled for Monday August 30th, 2021 at Cuppers at 1:00pm. The board agreed to hold our meetings on the last Monday of the month at 1pm, with exceptions for holidays.

Action Items:

- Lisa will talk to Mr. Bradstreet about a date when the kids are getting outfitted for their band outfits and see if we can help.

- September 10th is our first home football game that we will need to feed the kids.

- Lisa to follow up with Cal Ranch about a possible August car wash.

- Jennifer to follow up on getting the Square registered and working. A square device was found in the items she received from the previous Treasurer.

- Lisa to contact Kim Beard about the member at large position.

- Lisa to send out mass email after school starts and Mr. Bradstreet give the okay to send it out.
